This project is to design, produce, and stage and promote a live music event in Oxjam in Henley.
In the first meeting we were working out the organisation of the event, and different roles people should be asigned to.

Its our second session where we set up our blogs and carried on planning our project. The managment team went to the venue The Hot Frog/Henley Youth Centre. The outcome was to email the person in charge of the venue, Elizabett Hodglan. Hopefully they will provide us with a good outcome.
The finance team was asking around for anything people want, for example posters for the publicity. Once they had got all the specifics down they were sent to find out costs for these items.
The pre gig event managers were interested in making a cup cake sale on the saturday and had asked my self as the publicity team to give them posters for the event.
As part of the publicity team we asked around for specific dates, times and costs for the gig to enter. This information helped us plan what we needed to do in our poster.

During today's lesson me cameron and the event managers spoke to The Hot Frog and why
we went with the venue. It was mainly because it is close to the college, it has plenty of space, enough electrical outputs (for lights and electrical
instruments/equipment), getting it free due to it being a charity event and the use of staging to put the musicians on a higher platform. It was a perfect place to have a gig and was placed in a good area near the Henley College.

Today in class we all talked about how eveyone was during in regards to the oxjam event.
Chris told us his plan. He told us that we need to know what we are doing in terms of solos and ensembles. He wants to know and needs a list of what people are playing and how long it lasts so he can make a set list.
Joe and the finance team discust costs. They need to know how much everything would cost and if we can afford it. They also said they still need to email Sue about insurance.
Alex and Charlie are doing a cake sale this saturday from 10:30 till 11:30 to raise funds and get exposure to our up coming gig night. They asked the promoters for posters and flyers for this event to show out during the cake sale.
Cameron (tech guy) has explained to us that he has been to the actual venue and has sorted all the lights and sound engineering. All the lights and sound boards are available from the school and the venue itself. He does need help to be moving equipement on the night.
As promoters Me, Summer, and Mallisa discussed that we need times and dates for different events like the cake sale and the gig night. Summer has designed a poster to be put up at the cake sale and is designing a general poster for the gig night which I will be putting up during my busking to promote the gig and raise money for the event. Mallissa has contacted staff and external groups to help out with printing and promotion.
We all discussed that we needed a whole group rehearsal on a wednesday before the actual gig to see how long tthe set would last and to see where different people will be in the set.
The target audience are students because the music being played at the event is more suited to the age range, however other audiences such as adults and children are also welcome. Chris is going to organise the event so that all the performers in the second half can help with front of house in the first half and then the people performing in the first half can help with the front of house in the second half. This reduces the stress on performers.
We are going to discuss with the manager of the youth club to see if it is okay to begin the event at 7:00pm and end it at approximately 9:00pm. We also have to ask what is the earliest time we can go over to the venue and set up.
Oxjam Kit has been ordered. The ticket prices - £5 for adults, £3 for Student and under 5's go free as put in the posters we had made.

We cam up with these ideas using the theme of orange and blue with the oxjam logo and a picture of a past oxam event. We would then fill in the spaces with writing anf details of the gig for example, when it is, and how much it would cost to get in.

Today the person who is in charge of the Health and Safety for Henley College came in to speak to us about health and safety. We made a spider diagram of all the dangers at the event and then as a group we had to discuss about how to controls for them. These are the problems we faced and how we would deal with them.
Wires - Using tape to secure them to the floor.
Capacity - Selling tickets on the door means only people with tickets can get in and we can limit the amount of tickets. Also selling on the door means people cannot replicate the tickets.
Food and Drink - If we decide to sell food and drink we will have to label the products with their contents so people with allergies are aware of what they are eating.
Staging (Tripping/performers falling off) - Putting white tape on the edge of the stage so performers and spectators are aware of the step. Especially for the performers as it will be picked up on their peripheral vision when they are stood quite close to the edge of the stage.
Equipment (obstructions) - Making sure all instruments and equipment is out of the way of spectators, fire exits and are in a position that do not cause a threat of falling on anyone.

Today i went out and did some market research. I made a question and answer sheet with a load of questions and noted all the opinions the market said. I wenr round my home town of wigginton in hertforshire as well as berkhamsted. I then got a lift all the way to reading and started asking around there, after a while i took a train to henleyand started asking round there. I got a lot of information and i was a lot more clear to what the market wanted.
How much they would pay to come to an event like this?
Should there be a motto?
Should we sell food?
How long should the event be?
What would they like to hear?
What kind of environment would they like?
Would they sit or stand?
should there be an interval?
From the information i gathered, i foun most people would pay arounf £5 for an adult and child goes free.
I asked if there shuld be a slogan and everyone said yes because it gives the event a more of a catch, and when you hear it, eveeryone will know its about the event.
Around 75% said we should sell food because most people would get really hungry half way though, but the oother 25% said no due to health and safety as well as it turning into a met and stinking out the venue.
The answers i got from asking how lng the event should be changed but varied between an hour, to 3 hours!! but most people said 1 and a half hours.
Around 60% said they would like the environment to be calm and relaxing and a place to be just to hang out and listne to good music. around 20% said they would want it to be really intimate and have the croud standing up close to the artists, and singing along and getting really drunk and crazy. 15%% said that they would liike it to be a family event and a good event to take their children too. The other 5% said variouse different things mostly unappropriate.
I asked around if they would like to sit or stand and it came to arounf 70% saying standing and the rest sitting. I found this interesting as i thought the majority of people would like to sit and whatch the event, this has given me many more ideas about the seating arrangement for our event.
Everone said it depends how long it it but if the event is more then an hour then yes there shuold be a 15 min interval for those who would like a smoke, or those to chat and mingle and for those who just want to rest thier ears.
Im going to take this information to our next meeting which we have organised to be schedueled at our next lesson on the 7th.

Our gig event has now changed to Wednesday the 23rd of October due to a mix up at the Hot Frog's admin. We have confirmed that on October the 23rd at 7:00pm till 9:00pm.
During the session today we once again updated each other on where we're at.
Chris (Musical Coordinator) - Chris asked people for the names of their solos and how long they will be. So we all went around telling him the information he needed so he could begin looking at how long the gig would last and how long the set would be.
We set a deadline for the posters to be out by the 3rd of Otober. We said that we would go around town to shops and cafes putting up the posters as this is where most of the public go and where students spend their time when they do not have lessons. We are also going to focus on putting them up in college because this will attract both students and teachers. Melissa part of our publicity team has spoken to Dave The head of publicity for Henley College about promoting the event through the college's social media sitesr. Dave said that he needs quotes and photo's from the group of us planning rehearsing and organising the gig. We did this in our lesson today.
Melissa mentioned that her friend Dan is going to film the event for us so we can review it afterwards and evaluate our performances.
We discussed having a raffle to raise some extra money for charity and to keep the crowed entertained while we change sets.
We decided we needed 50 A4 posters and 20 of them to be laminated. Then we wanted 20 A3 posters with 10 laminated.
Demitris also said he is going to try and check to see if all the equipment and instruments have public liability insurance and has been PAT tested.
I told the class about the market research i did and it ggave everyone a better idea on what to do for the event such as seating and food ect. It also gave the promotion team and I a good idea on how muchwe should get people to pay for the event.

Today i was doing some internet searching on musical posters. I went searching for different answers such as, what the colours should be like? how but the posters should be? shoud it be laminated or not? i got some results from this:
Many online bloggers said the colours should be quite bland, you dont want to have to many colours otherwise it will look tacky and not very proffesional.
I looked at font and most people said big and bold. You want to carry out a messge everyone acan see and read. there is no point having a poster you cannot read and a poster that doesnt catch your eye. Today Cameron had shown us some posters he made so we could all see what they looked like before we put them up around Henley town and college. They are printing more of them out not only in A4 but A3 too so they make more of an impact in bigger spaced areas there for creating a more successful gig. We sent the posters down to Nancy who was in charge of the printing in Hneley College.
Dimitris said he wanted to find out how much the Korg costs so he can sort out the insurance.
We spoke about food and drink and that if we could provide it pre-prepared (bottled/wrapped) so we can sell it easily because the ingredients will be on the wrappers and we do not have to worry about allergies.
We also spoke about how we are going to set up the venue so Cameron said that they have sofa's and chairs so Lissie mentioned we could have seating around the edge and closer to the stage and in the middle of the hall people could stand. We have contacted the other music performing group about them doing our front of house but we are still waiting on their reply.
We all asked Lissie and Alex who were the event managers to find out the size of the venue. They emailed The Hot Frog and found it could fit around 80 people in it.

We decided to put them in stores or Cafes because if it rained they would not get wet and damp and fall down, also, many people go into cafes like starbucks and from there, many people would see our event poster. As part of the publicity team i went out today and busked along with two other students Dan Noble and Jasper Lynch. We went there to promote our gig on the 23rd of october and it came out with a pretty decent success. We had people ask us what it was about and told us they might come down. In the proccess of our promoting in general we had some problems with the Head of Marketing & Admissions for the Henley College. We emailed him several times about posting on the college website, Facebook, newsletter and Twitter and other and other community sites. He asked for photos and info about the event but he then never replied and never put any photos up on anywhere. We worked with this problem by making our own Facebook event and inviting all our friends to it.

Today I went to see the other classes gig for Oxjam. Going to Oxjam helped me a lot in knowing how to make our Oxjam better. i noted all their flaws and all their ups. One major problem was the seating arrangements. Everyone at the event seemed to want to sit down most of the time but there were no seats, so instead they all leaned against the wall far from the stage. So I am going to suggest maybe putting seating in our event and putting the sofas close to the stage to prevent anyone not coming close.The other event didn't have a program and so no one new how many acts there were left and who was who. So i will raise the point. Feed back was a massive downer from the PA system. It was loud and disturbed the crowd a lot. Hopefully Cameron with his equipment will make the whole situation go away. Students were also tuning as they were on stage which made the changes very slow and the crowd got bored. so we need to make sure guitars are tuned and we can change smooth and quick.
Today i had also went round the whle of henley handing out flyers to different businesses around Henley, I had also taken the train to reading and started promoting our event from readin aswell trying to get as much people down there as possible.
